Tags

Create and manage guest categories for your event in Evencia.

Overview

Tags are the categories you assign to your guests — for example "Speaker", "VIP", "General Attendee", or "Staff". Every guest in Evencia must belong to a tag.

Tags are powerful because they tie everything together: the registration form a guest fills in, the badge design they receive, and the email communications they can be sent are all linked through their tag.

By setting up tags before you add guests, you can keep different guest types completely separate and give each group its own experience.


Where to find Tags

  1. Open your event from the Evencia dashboard.
  2. In the event menu, select Tags.

You will see all the tags created for that event displayed as cards.

Before you start

  • You need the Organizer or Event Manager role for the event to view and manage tags.
  • Creating a tag is the first step before adding guests, building registration forms, or designing badges.

Understanding the Tags page

Each tag appears as a card showing:

Some tags show a System label. System tags are managed automatically by Evencia and cannot be edited or deleted.

Tags that have been moved to trash show a Trashed label and appear faded.


How to create a tag

Step 1 — Open the Tags page

In the event menu, select Tags.

Step 2 — Select Create Tag

Select the Create Tag button in the top-right corner of the page.

Step 3 — Fill in the details

A dialog appears. Complete the fields:

Note: Tag names must be unique within the event. You cannot use the same name twice.

Step 4 — Select Create

Select Create to save the tag. It will appear immediately on the Tags page.


How to edit a tag

  1. Find the tag on the Tags page.
  2. Select the pencil (edit) icon at the bottom of the tag card.
  3. Update the Tag Name or Description.
  4. Select Update to save your changes.

You cannot edit System tags.

How to delete a tag

Deleting a tag moves it to trash. It is not permanently removed.

If the tag has no guests

  1. Find the tag on the Tags page.
  2. Select the trash icon at the bottom of the tag card.
  3. A confirmation dialog appears. Select Delete to confirm.

The tag is moved to trash.

If the tag has guests

If guests are currently assigned to the tag, Evencia will not let you delete it until you move those guests to a different tag.

  1. Select the trash icon on the tag card.
  2. A dialog appears showing how many guests are assigned to this tag.
  3. Choose a destination tag from the list to move those guests to.
  4. Select Move Guests & Delete.

All guests are moved to the destination tag and the original tag is moved to trash.

How to restore a deleted tag

If you have accidentally deleted a tag, you can restore it.

  1. In the filter bar, select Trashed to show only trashed tags.
  2. Find the tag you want to restore.
  3. Select the restore icon (circular arrow) on the tag card.

The tag is moved back to the active list.

How to permanently delete a tag

Permanent deletion removes a tag completely and cannot be undone.

  1. First, move the tag to trash (see How to delete a tag above).
  2. In the filter bar, select Trashed to show trashed tags.
  3. Find the tag and select the × icon.
  4. Confirm the action.

This action is permanent and cannot be reversed. Make sure you no longer need this tag before permanently deleting it.


Searching and filtering tags

Type in the Search box at the top of the Tags page to filter tags by name or description.

Select the × in the search box to clear your search and see all tags again.

Trash filter

Use the filter buttons on the right to control which tags are shown:

The Trashed and All Tags filters are only visible to users who have the permission to restore or permanently delete tags.


Common problems

I can't see the Tags menu

You may not have the required permission. Contact your event organiser or administrator to request the Organizer or Event Manager role.

The "Create Tag" button is not visible

You may not have permission to create tags. Contact your administrator if you believe you should have access.

I'm seeing an error when trying to delete a tag

If the tag has guests assigned to it, you must first choose a destination tag to move those guests to before the tag can be deleted.

The tag name I entered is not being accepted

Tag names must be unique within the event. Choose a different name if another tag with the same name already exists.

I can't edit or delete a tag marked as System

System tags are managed automatically by Evencia and are read-only. They cannot be modified or removed.


Tips

  • Create your tags before adding guests, building forms, or designing badges — they are the starting point for setting up your event.
  • Give tags clear, descriptive names so your team knows which category to use when adding guests.
  • Use the Description field to add notes about what type of guest each tag is intended for.
  • If you need to reorganise guest categories, you can move all guests from one tag to another during the delete flow, saving you from reassigning guests one by one.
