Surveys
Create and send surveys to your event guests, collect feedback, and view analytics — all from within Evencia.
Overview
The Surveys feature lets you collect feedback and information from your event guests. You can create surveys with a variety of question types, share them publicly or send personal links to specific guests, and then review all responses and see visual analytics.
Use surveys to:
- Collect post-event feedback
- Run satisfaction ratings or Net Promoter Score (NPS) questionnaires
- Gather information before the event
- Run polls or preference surveys during the event
Where to find Surveys
- Open your event from the Evencia dashboard.
- In the event menu, select Surveys.
You will see a card for each survey you have created for that event.
Before you start
- You need the Organizer or Event Manager role for the event.
- Specific permissions control what you can do. If you cannot see a button, you may not have the required permission — contact your administrator.
Create a survey
- From the Surveys page, select Create Survey.
- Fill in the survey settings at the top of the page.
- Build your questions using the form builder.
- Customize the thank you message.
- Select Save Survey.
Survey settings

| Survey Name | The internal name for this survey. Guests do not see this name. |
| Type | Anonymous — anyone with the link can respond; responses are not linked to a specific guest. Identified — each guest receives a personal link; their response is linked to their guest record. |

| Starts At | Optional. The date and time when the survey starts accepting responses. Times are shown in the event's timezone. |

Build your questions
Use the form builder below the settings to add questions. Drag question types from the panel on the left into the survey area. Each question can be configured with a label, optional description, and whether a response is required.
Question types

Customize the thank you message
At the bottom of the create/edit page there is a Thank You Message editor. This is the message guests see after they submit the survey. You can write formatted text including links, bold, and lists.
If your survey supports multiple languages, you can write a separate message for each language by selecting the language tab above the editor.
Manage surveys
After creating a survey, it appears as a card on the Surveys page. Each card shows:
- The survey name
- Whether it is Anonymous or Identified
- The current status: Draft, Active, or Closed
- The number of responses received
- The active date range (if set)
- A color bar showing the survey's branding colors (if branding has been applied)
Survey status
| Status | What it means |

| Draft | The survey has been created but is not accepting responses yet. |
| Active | The survey is open and accepting responses (subject to start/end dates). |
| Closed | The survey is no longer accepting responses. |
Change the status
Use the play or stop icon on the survey card to move the survey to the next status:
- From Draft: select the play icon to Activate the survey.
- From Active: select the stop icon to Close the survey.
- From Closed: select the play icon to Reopen the survey (sets it back to Active).
A confirmation prompt appears before the status changes.
Actions on a survey card

Edit a survey
- Find the survey card and select the Edit button (pencil icon).
- Update any settings or questions.
- Select Update Survey.
Note: Editing questions after responses have already been collected does not delete existing responses. However, if you remove a question or change its key, existing answers for that question will no longer match.
Duplicate a survey
Duplicating creates a copy of the survey with all the same questions and settings. The copy is set to Draft status with zero responses.
- Find the survey card and select the Duplicate button (copy icon).
- The duplicate opens in the survey editor so you can make changes before saving.
Design a survey (branding)
Each survey can have its own visual design that guests see when they open it.
- Find the survey card and select the Design button (palette icon).
- Adjust colors, fonts, layout, and images.
- Select Save Design.
You can also copy the design from another survey in the event using the "Copy design from another survey" option at the top of the design dialog.
Share a survey
Anonymous surveys
Anonymous surveys use a single shared link. Anyone with the link can respond — no guest account is required.
- Find the survey card and select the Copy public link button (chain icon).
- Share the link by email, WhatsApp, or any other channel.
The link only works while the survey is Active and within its start/end date range.
Identified surveys
Identified surveys use personal links, one per guest. Each link can only be submitted once, and the response is connected to that specific guest's record.
To manage and view the personal links for an identified survey:
- Edit the survey.
- On the edit page, look for the Links section or tab.
TODO: Verify this behavior. The exact location of the link management page for identified surveys needs to be confirmed in the application.
Personal links track whether each guest has received, opened, and submitted the survey.
View responses
- Find the survey card and select the Responses button (message icon).
- A table shows all submitted responses with the respondent name (or "Anonymous"), the submission date and time, and the time they took to complete the survey.
Search responses
Use the search bar at the top to find responses by guest name or email.
View a single response
Select the eye icon on any response row to open a detail panel showing all the answers that guest gave, including star ratings displayed visually and NPS scores highlighted on the scale.
Export responses
Select Export XLSX to download all responses as a spreadsheet. The file includes one row per response with all question answers, submission date, respondent name, and completion time.
Delete responses
If you have the required permission, you can:
- Delete a single response using the trash icon on the response row.
- Select multiple responses using the checkboxes on the left, then select Delete.
Deleting a response is permanent and cannot be undone. Any files uploaded by the respondent are also deleted.
Download uploaded files
If a survey contains a File question, respondents can upload a document or image. To download a file uploaded by a respondent:
- Open the response detail (eye icon).
- Find the file question answer.
- Select Download.
Analytics
The analytics dashboard gives you a visual overview of all responses.
- Find the survey card and select the Analytics button (chart icon).
Summary tiles
At the top you will see:

Link delivery stats (identified surveys only)
For identified surveys, you also see a Link Delivery Stats section showing:

Question breakdown
Below the summary, each question (except section dividers) shows an analysis:
- Choice questions (radio, checkbox, dropdown): a bar chart showing how many people selected each option.
- Rating questions: the average score and a bar chart showing the distribution of ratings.
- NPS questions: the distribution plus the NPS score, broken down into Promoters (9–10), Passives (7–8), and Detractors (0–6), with percentages for each group.
- Text and file questions: no chart is shown — you can review individual answers in the Responses view.
Delete and restore a survey
Delete (move to trash)
- Find the survey card and select the Delete button (trash icon).
- The survey is moved to the trash. It is no longer visible in the default view and cannot be accessed by respondents.
To view trashed surveys, use the Active / Trashed / All filter at the top of the Surveys page (only visible if you have restore or permanent-delete permission).
Restore a survey
- Select Trashed from the filter.
- Find the survey and select the Restore button (rotate icon).
The survey is returned to its previous status.
Permanently delete a survey
A survey must be in the trash before it can be permanently deleted.
- Select Trashed from the filter.
- Find the survey and select the Delete button.
This action cannot be undone.
Common problems
The survey is not accepting responses
Check the following:
- The survey status must be Active — not Draft or Closed.
- If you set a Starts At date, make sure that time has passed.
- If you set an Ends At date, make sure it has not passed yet.
I cannot see the "Create Survey" button
You may not have the survey.create permission. Contact your administrator.
I cannot edit or delete the survey
You may not have the survey.edit or survey.delete permission. Contact your administrator.
A guest says they can't submit the survey
- Confirm the survey is Active.
- For Identified surveys, confirm the guest received their personal link and has not already submitted. Each personal link can only be used once.
- For Anonymous surveys, confirm the shared link is correct.
I need to undo a deleted response
Deleted responses cannot be recovered. Consider using the Export XLSX feature regularly to keep a backup of your response data.
Tips
- Use Section questions to break a long survey into logical groups. In paginated display mode, each section starts a new page.
- Enable the Show progress bar option (in the builder settings) so respondents can see how far along they are.
- Use NPS questions to measure overall guest satisfaction with a single score that is easy to track over time.
- Set a thank you message that matches your event's tone — it's the last thing respondents see, so make it count.
- Use Identified surveys when you need to know which specific guest gave each answer and want to prevent duplicate submissions.
- Use Anonymous surveys when you want to encourage honest feedback without guests worrying about being identified.
