Tickets
Create and manage ticket types for your event, and let attendees register and pay online.
Overview
The Tickets feature allows you to sell or distribute tickets for your event directly through Evencia. You can create different ticket types - for example, a standard ticket and a VIP ticket - each with its own price, quantity, and availability window.
Attendees can visit a public page for your event, choose a ticket, fill in a registration form, and complete payment. Once payment is confirmed, they are registered as a guest in Evencia automatically.
You can also offer discount codes (promocodes) to give attendees a reduced price, view all orders that have been placed, and customize the appearance of the public ticket page your attendees see.
Where to find Tickets
After selecting your event, look for the Tickets section in the event navigation. It contains four tabs:

Before you start
- You must have an Organizer, Event Manager, or Administrator role to manage tickets.
- Tickets are linked to a registration form through a Tag. Before creating a ticket, make sure you have at least one Tag set up with a registration form attached to it. See the Tags and Forms documentation for help.
- Your event must have a currency configured in its settings. Ticket prices are displayed in that currency.
Managing Ticket Types
Step 1 - Open the Tickets tab
Select your event, then go to Tickets in the navigation.
You will see all the ticket types you have created, displayed as cards.

Step 2 - Create a ticket
Select Add Ticket in the top-right corner.
A form will open. Fill in the fields:

| Ticket Name | The name attendees will see, for example "General Admission" or "VIP Access". Required. |
| Description | A short explanation of what the ticket includes. Optional. |
| Tag (Registration Form) | The registration form attendees will fill in when buying this ticket. Required. |
| Guests per Ticket | How many guests are registered per ticket purchased. For example, set to 2 if one ticket covers two people. Required. |
| Price | The ticket price in your event currency. Set to 0 for a free ticket. Required. |
| Original Price | An optional higher price shown with a strikethrough, useful for showing a discount. Optional. |
| Quantity | The maximum number of tickets available. Required. |
| Ribbon Text | A short label displayed as a banner on the ticket card, for example BEST VALUE or LIMITED. Optional. |
| Sell Start | The date and time when ticket sales open. Shown in your event timezone. Optional. |
| Sell End | The date and time when ticket sales close. Must be after the start date. Optional. |
| Active | Turn on to make the ticket available for purchase. Turn off to hide it without deleting it. |
| Private | Turn on to hide this ticket from the public page. Useful for tickets you share only via direct link. |
| Ribbon shows remaining count | When turned on, the ribbon on the ticket card automatically shows how many tickets are left. |

Select Create to save. The ticket appears on the Tickets page.
Step 3 - Edit a ticket
To update a ticket name, price, quantity, or other details:
- Find the ticket card and select the pencil icon (Edit).
- Update the fields you want to change.
- Select Update to save.
Important: If you lower the quantity below the number already sold, the ticket will be marked as sold out. If you change the price, active shopping carts will be updated to reflect the new price. If you deactivate a ticket or move its sale window so it is no longer valid, any tickets already in active carts will be removed automatically.

Step 4 - Delete a ticket
To remove a ticket you no longer need:
- On the ticket card, select the trash icon (Delete).
- Confirm the deletion.
The ticket is moved to the trash. It is not permanently removed yet - you can restore it if needed.

Understanding ticket cards
Each ticket is shown as a card with the following information:

| Tag | The registration form linked to this ticket |
| Price | The current sale price |
| Remaining | How many tickets are still available (quantity minus sold) |
| Pending payments | How many tickets are currently being purchased but payment is not yet confirmed |
| Sale window | The start and end dates for when the ticket can be purchased |
| Active / Inactive badge | Whether the ticket is currently available for purchase |
| Private badge | Whether the ticket is hidden from the public page |
| Trashed badge | Whether the ticket has been deleted |
Searching and filtering tickets
At the top of the Tickets page:
- Use the search box to find tickets by name or tag.
- Use the Active / Trashed / All filter buttons to switch between active tickets, deleted tickets, or all tickets.
The Trashed and All filters only appear if you have permission to restore or permanently delete tickets.
Common ticket actions
View the public ticket page
Select View Public Page (the external link button near the top of the Tickets tab) to see what attendees will see when they visit your event ticket page.
Restore a deleted ticket
- Switch to the Trashed filter.
- Find the ticket and select the restore icon.
The ticket returns to active status.
Permanently delete a ticket
- Switch to the Trashed filter (the ticket must be in the trash first).
- Find the ticket and select the X icon (Permanently Delete).
- Confirm.
This action cannot be undone.
How attendees buy tickets
Your event has a public ticket page that attendees can visit without logging in to Evencia. There are two versions of this page depending on your event settings:
Single-ticket mode
The attendee:
- Sees all available tickets listed on the page.
- Selects a ticket.
- Fills in the registration form.
- Uploads a photo if required.
- Enters their name, email, and phone number.
- Optionally enters a promocode for a discount.
- Reviews the total amount and completes payment.
After successful payment, the attendee is immediately registered as a guest in Evencia and receives a confirmation.
Multiple-ticket mode
The attendee:
- Sees all available tickets in a grid.
- Selects a quantity for each ticket type they want.
- Adds tickets to their cart.
- Opens the cart and proceeds to checkout.
- Enters their contact details, and optionally a promocode.
- Completes payment.
After payment, the attendee receives a link to fill in the registration form for each ticket purchased.
Promocodes
Promocodes let you offer discounts to specific attendees or groups. You can create them from the Promocodes tab.
Create a promocode
Select Add Promocode and fill in the form:

| Discount Type | Choose Percent for a percentage off or Fixed Amount for a set amount off. Required. |
| Value | The discount amount. For percent, enter a number between 0 and 100. Required. |
| Applicable Tickets | Which ticket types this code applies to. Required. |
| Max Uses | How many times the code can be used in total. Required. |
| Start Date | When the code becomes active. Shown in your event timezone. Required. |
| End Date | When the code expires. Must be after the start date. Required. |

Select Create to save.
Edit or delete a promocode
- Select the pencil icon to edit a promocode.
- Select the trash icon to move it to the trash.
- To restore or permanently delete, use the Trashed filter.
A promocode cannot be changed if there are orders currently awaiting payment that used it.
Orders
The Orders tab shows every ticket purchase made for your event, including the buyer name, email, phone, tickets purchased, total amount, and payment status.
Filter orders
You can filter orders by:
- Search - type a name, email, phone number, or transaction ID.
- Status - filter by payment status (success, pending, failed, refunded, etc.).
- Date range - filter by when the order was created.

View tickets in an order
Select View in the Tickets column to see exactly which tickets were purchased, the quantity, unit price, and subtotal for each.
View transaction details
Select the payment status badge on any order to see detailed information from the payment provider.
Export orders
Select Export CSV to download all visible orders (respecting your current filters) as a spreadsheet.
Display Settings
The Display Settings tab lets you customize the appearance of the public ticket page your attendees see.
Banner and footer images
You can upload a banner image (shown at the top of the page) and a footer image (shown at the bottom). Recommended size: 1600 x 400 pixels.
Colors
Set the colors for the page in both light mode and dark mode. Visitors can switch between modes using a button on the public page.

Select Reset to Default to restore all colors to the Evencia defaults.
Card design

Page content
You can add custom text, images, or formatting above and below the ticket list using the Header Content and Footer Content editors.

Common problems
I cannot see the Tickets tab
You may not have the required permission. Contact your administrator.
The Add Ticket button is not visible
You may not have permission to create tickets. Contact your administrator.
A ticket is not showing on the public page
Check the following:
- The ticket must be set to Active.
- The current date and time must be within the Sell Start and Sell End window.
- The ticket must not be set to Private (unless you are sharing the link directly).
- The ticket must have stock remaining (quantity minus sold must be greater than zero).
- The event itself must not be suspended.
I cannot change the tag on a ticket
If a ticket already has an order with a payment that is pending or awaiting confirmation, you cannot change its tag until that payment is resolved.
A promocode is not working for an attendee
Check the following:
- The current date is within the code Start Date and End Date.
- The code has not reached its Max Uses limit.
- The code is set to apply to the ticket the attendee selected.
The order shows a pending status
Some payment providers take a few minutes to confirm a payment. The status updates automatically. If a payment stays in pending for a long time, check with your payment provider.
Tips
- Use the Original Price field to draw attention to discounts by showing the regular price crossed out.
- Use Ribbon Text to highlight popular tickets, for example POPULAR or LAST CHANCE.
- Enable Ribbon shows remaining count on tickets with limited availability so attendees can see how few are left.
- Set a specific Sell End date to create urgency and close sales automatically at the right time.
- Use Private tickets for special access passes that you share only with a selected group.
