Scan Logs
View, filter, and export all gate check-in and check-out sessions for your event.
Overview
The Scan Logs page gives you a complete record of every time a guest was checked in or out through a gate at your event. You can use it to see who is currently inside a venue, review past activity, and export attendance data.
Scan logs are created automatically when scanners check guests in or out. You cannot create or edit them manually.
Where to find Scan Logs
From your event's navigation, select Scanning, then select the Scan Logs tab.
Before you start
- You need the scanner.logs permission, the Organizer or Event Manager role for the event, or an administrator account.
- Logs are created in real time as scanning takes place. If the event has not started or scanning has not begun, the page will be empty.
Summary statistics
At the top of the Scan Logs page, three summary cards give you a quick overview:

| Total Sessions | The total number of check-in sessions recorded |
| Active (inside) | Guests who have checked in but have not yet checked out — currently inside the venue |
| Completed | Guests who have both checked in and checked out |
These numbers update based on your current filters.
Understanding the table
Each row in the table represents one guest's check-in session at a gate. The table shows:

| Guest | The guest's name and email address |
| Venue | The venue and gate where the guest was scanned |
| Check-in | The time the guest entered, shown in your personal timezone |
| Check-out | The time the guest left. Shows — if the guest is still inside. Times marked (auto) were closed automatically by the system |
| Scanner | The staff member who performed the scan |
| Status | Active if the guest is still inside, Completed if they have left |
Filtering scan logs
You can narrow the results using the filters at the top of the table:

| Venue | Show only activity at a specific venue |
| Gate | Show only activity at a specific gate |
| Scanner | Show only activity recorded by a specific staff member |
| Status | Filter by Active (still inside), Completed (left), or All |
| From date | Show check-ins from a specific date onward |
| To date | Show check-ins up to a specific date |
Select Clear filters to reset all filters at once.
Exporting scan logs
To download the gate scan log data as a spreadsheet:
- Apply any filters you want (for example, select a specific gate or date range).
- Select Export CSV in the top-right area.
The file will download automatically. It includes:
- Guest name and email
- Venue and gate names
- Check-in and check-out times (in your personal timezone)
- Scanner name
- Session status and checkout type
- Duration in minutes
Common problems
The page is empty
Scan logs are created by scanners on the day of the event. If the event has not started or scanning has not begun, there will be no records.
I cannot see the Scan Logs tab
You may not have the required permission to view scan logs. Contact your administrator if you believe you should have access.
A guest shows as Active but I know they have left
The guest may have left without being scanned out. A check-out scan must be performed by a scanner for the session to be marked as Completed. If automatic checkout is configured for the event, it may also close the session after a set time.
The times look different from what I expected
All times in the Scan Logs table are shown in your personal timezone, configured in your account preferences. If the times appear incorrect, check your timezone setting.
The check-out shows "(auto)"
This means the system automatically closed the session based on the event's auto-checkout settings, rather than a scanner manually scanning the guest out.
Tips
- Use the Status: Active filter during a live event to see exactly who is currently inside each venue in real time.
- Filter by Gate if you want to review activity at a specific entry or exit point.
- Filter by Scanner to review the activity of a specific staff member.
- Export filtered data if you only need a report for a particular venue, time period, or scanner.
