Certificates

Design, generate, and manage certificates for your event guests in Evencia.

Overview

The Certificates feature lets you create personalised PDF certificates for the guests attending your event. You design the certificate once using a visual designer, set which guests should receive it, and then generate it for all of them at once or for individual guests.

Certificates can carry a guest's name, event details, a QR code for verification, images, shapes, and any information from their registration form. Once generated, guests and event staff can download each certificate as a PDF file.

Visual designer
Drag and drop text, images, shapes, and QR codes onto a canvas to build your certificate layout.
Smart targeting
Choose whether a template applies to all guests, a specific tag group, or guests who attended a specific workshop.
Certification conditions
Require guests to meet attendance criteria — such as checking in or attending a minimum number of workshops — before their certificate is issued.
Bulk generation
Generate certificates for your entire guest list at once and download them as a single ZIP file.
Authenticity verification
Each certificate carries a unique QR code. Anyone can scan it to confirm the certificate is genuine.
Revocation
Revoke a certificate at any time if a guest no longer qualifies, and un-revoke it if circumstances change.

Where to find Certificates

  1. Open your event from the Evencia dashboard.
  2. In the event menu, select Certificates.

You will see a list of all certificate templates created for that event.

Certificates

Before you start

  • You need the appropriate permission for your role to view, create, edit, or generate certificates. If a button or section is not visible, contact your administrator.
  • Make sure you have already created Tags or Workshops if you plan to target a specific group of guests with your certificate.
  • To add a background image to a certificate, prepare an image file (JPG, PNG, or WebP, maximum 10 MB).

Certificate templates

A certificate template defines the design of your certificate — its layout, colours, text, and any images. You create one template per certificate style, then use it to generate certificates for all the relevant guests.

Each template card on the Certificates page shows:

InformationWhat it means
PreviewA thumbnail of the certificate's background image, if one was set.
NameThe name you gave this template.
DescriptionOptional internal notes about this template.
Page size and orientationFor example, A4 landscape or A5 portrait.
ScopeWhich guests will receive this certificate — all guests, a specific tag, or a specific workshop.
Generated countHow many certificates have been generated using this template. Selecting this number opens a per-guest breakdown.
Conditions iconA shield icon appears if the template has certification conditions.
Inactive badgeShown if the template has been set to inactive.
Default starShown if this is the default template for the event.

How to create a template

  1. On the Certificates page, select Create Template.
  2. This opens the Certificate Designer. See Template designer for a full guide.
  3. After saving, the template appears on the Certificates page.

How to edit a template

  1. Find the template card and select the pencil icon (Edit).
  2. The designer opens with the current design loaded.
  3. Make your changes and select Update.

If you edit a template after certificates have already been generated, those existing certificates will be marked as Design changed. You can regenerate them to apply the new design.

How to generate certificates from a template

To trigger bulk generation for all guests targeted by a template:

  1. On the template card, select the file icon (Generate).
  2. Evencia queues a bulk generation job in the background.
  3. You are redirected to the Generated ZIPs page where you can track progress and download the result.
See Generating certificates for the full workflow.

How to delete a template

  1. On the template card, select the trash icon (Delete).
  2. Confirm the deletion.

The template is moved to the trash — it is not permanently removed. Any certificates generated from this template are also soft-deleted but can be restored.

How to restore a deleted template

  1. On the Certificates page, select Trash (top-right).
  2. Find the template you want to restore.
  3. Select the restore icon (circular arrow) and confirm.

The template and all its previously generated certificates are restored.

Searching templates

On the Certificates page, use the search box to find templates by name. Results update as you type.

Common issues

I cannot see the Create Template button

You may not have the permission to create certificate templates. Contact your administrator if you believe you should have access.

I cannot see the Generate button

You may not have the bulk-generate permission. Contact your administrator.

The generated count shows 0 but I expected certificates

Check that the template's scope matches the guests you expected. If the scope is set to a specific tag or workshop, only guests in that group are targeted.

A template I deleted is no longer in the Trash

Deleted templates appear in the Trash until they are permanently removed by an administrator. If the template is not there, it may have been permanently deleted.

Tips

  • Give each template a clear name so it is easy to identify when selecting templates for bulk generation.
  • Use the Description field for internal notes (this text does not appear on the certificate itself).
  • Mark your main certificate design as the Default template using the toggle in the designer. The default template is highlighted with a star on the index page.
  • If you use conditions, test with a few guests before running a bulk generation to confirm the logic works as expected.
