Generating Certificates

Generate certificates in bulk or for individual guests, download ZIPs, and manage per-guest certificate status in Evencia.

Overview

Once your certificate template is ready, you can generate PDF certificates for your guests. Evencia supports two approaches:

  • Bulk generation — generate certificates for all targeted guests at once. The result is packaged as a ZIP file you can download.
  • Individual generation — generate or force-generate a certificate for a single guest from the per-guest breakdown view.

Bulk generation

Step 1 — Start a bulk generation

From the template card: On the Certificates page, find the template card and select the file icon (Generate). Evencia immediately queues a generation job for all guests targeted by that template.

From the Generated ZIPs page:

  1. Select Generated ZIPs (top-right of the Certificates page).
  2. At the top of the Generated ZIPs page, choose a template from the Select a template dropdown.
  3. Select Generate.
Generated ZIPs

Step 2 — Track progress

After starting a generation, you are taken to the Generated ZIPs page. Each generation is shown as a card with:

InformationWhat it means
Template nameThe template used for this generation.
StatusQueued, Generating, Ready, Failed, or Expired.
Guest countTotal number of guests included.
SkippedGuests who did not meet the certification conditions.
File sizeSize of the ZIP file once complete.
GeneratedWhen the generation finished (or started).
Requested byThe user who started the generation.
DownloadedHow many times the ZIP has been downloaded.
ExpiresWhen the ZIP file will be automatically removed from storage.

A progress bar appears while generation is running. The page updates automatically every few seconds — no need to refresh.

Step 3 — Download the ZIP

Once the status is Ready, select Download to save the ZIP file to your computer. The ZIP contains one PDF per guest.

Generation statuses

StatusWhat it means
QueuedThe job is waiting to start.
GeneratingCertificates are currently being created.
ReadyThe ZIP is complete and available to download.
FailedAn error occurred during generation. An error message is shown on the card.
ExpiredThe ZIP file was automatically removed after its retention window. The guest list is kept — you can regenerate to get the file back.
Design changedThe certificate design was edited after this ZIP was generated. The file no longer matches the current design. Regenerate to get an updated file.

Regenerating

If the template design has changed, the ZIP file has expired, or a generation failed, select Regenerate on the generation card. Evencia re-queues the job using the same guest list and the current template design.

Regenerating replaces the existing ZIP file. Download the current file first if you want to keep it.

Deleting a generation

Select the trash icon on a generation card to delete it. This removes the ZIP file and the generation record. The generated certificates for individual guests are not affected — guests who already had certificates still have them.

Viewing per-guest certificate status

To see the certificate status for every guest in a generation:

  1. On the Generated ZIPs page, find the generation card.
  2. Select View Guests.

You can also open this view from the Certificates page by selecting the generated count link on a template card.

What the per-guest table shows

ColumnWhat it means
Guest IDThe guest's unique identifier.
GuestName and email address.
TagThe tag assigned to the guest.
StatusThe certificate status for this guest (see below).
Last GeneratedWhen the certificate was most recently generated.
ActionsDownload, force-generate, revoke, or un-revoke.

Certificate statuses per guest

StatusWhat it means
PendingNo certificate has been generated yet.
GeneratedThe certificate was created successfully and is ready to download.
Conditions Not MetThe guest does not meet the template's certification conditions. The certificate was not generated.
RevokedThe certificate has been revoked and is no longer valid.

Additional tags may appear on a status:

TagWhat it means
ForcedThis certificate was generated by bypassing the condition check.
Outside current scopeThe guest no longer matches the template's target group, but keeps their existing certificate.
Design changedThe template design was updated after this certificate was generated.

Filtering and searching guests

At the top of the per-guest table, use the filters to narrow the list:

  • Search — find guests by name, email, or ID.
  • Status — show only guests with a specific certificate status.
  • Tag — show only guests with a specific tag.
  • Scope — show guests who are inside or outside the template's current target group.
  • Forced — show only force-generated certificates, or only regular ones.

Select Clear filters to reset all filters at once.

Downloading an individual certificate

In the per-guest table, select the download icon next to a guest whose status is Generated to download their individual PDF certificate.

You need the certificate download permission to see this button.

Force-generating a certificate

If a guest's status is Conditions Not Met or Pending, you can generate their certificate manually, bypassing the conditions check:

  1. In the per-guest table, select the refresh icon next to the guest.
  2. A confirmation message appears, noting that conditions will be bypassed.
  3. Confirm to proceed.

The certificate is generated in the background. The row updates automatically once done.

You can also force-regenerate a certificate that was already Generated (for example, to apply a new template design to a single guest) by selecting the refresh icon on a generated row.

You need the generate certificate permission to force-generate.

Force-generated certificates are marked with a Forced badge so you can identify them later.

Generating a certificate from a guest's profile

In addition to bulk generation and the per-guest breakdown table, you can generate and download a single guest's certificate directly from their guest profile, without needing to open a print job or template guest list first.

Step 1 — Request generation

  1. On the guest's profile, open the Certificates section and choose the template.
  2. Select Generate. Evencia checks whether the guest already has a certificate for that template:
    • If one already exists and is generated, you are shown it immediately.
    • Otherwise, a generation job is queued in the background.

Step 2 — Check status

While the job runs, Evencia polls for status in the background and shows one of:

StatusWhat it means
Not generated yetThe job is still queued or running.
GeneratedThe certificate is ready to download.
Conditions not metThe guest did not meet the template's certification conditions, so no certificate was created.

Step 3 — Download or force-generate

  • If the certificate was generated, select Download to get the PDF.
  • If the guest's conditions were not met, you can select Force Generate to issue the certificate anyway, bypassing the condition check — the same as force-generating from the per-guest breakdown table. The resulting certificate is marked Forced.
  • If the certificate has been revoked, it cannot be downloaded from here. Un-revoke it first (see Revoking a certificate).
This is a convenience for handling one guest at a time — for example, a guest asking for their certificate on the spot. For larger batches, use bulk generation instead.

Expanding a row for details

Select the expand arrow at the left of a guest row to see additional information:

  • For Conditions Not Met: the specific conditions that were not satisfied, with a tick or cross next to each one.
  • For Revoked: the revocation reason (if one was recorded).

Revoking a certificate

If a guest should no longer hold a valid certificate:

  1. In the per-guest table, select the revoke icon (shield with a line through it) next to the guest.
  2. Confirm the revocation.

The certificate status changes to Revoked. The guest can no longer download or verify it.

You need the revoke certificate permission to see this button.

Un-revoking a certificate

If a certificate was revoked by mistake or the guest's situation has changed:

  1. In the per-guest table, select the un-revoke icon (shield with a tick) next to the guest.
  2. The certificate is restored to Generated status.

Common issues

The generation is stuck in Queued

Generation jobs are processed in a background queue. If a job stays in Queued for a long time, contact your administrator — there may be a queue processing issue.

The ZIP download is empty or incomplete

This can happen if all guests were skipped because none of them met the certification conditions. Check the skipped count on the generation card and review the per-guest breakdown to see which conditions were not met.

I cannot download the ZIP — it says the file is not available

The ZIP may have expired and been removed from storage. Select Regenerate to create a new one.

The Download button is not shown

The ZIP may not be ready yet (status is Queued or Generating), or it may have expired. Wait for generation to complete, or regenerate if the file has expired.

Some guests show "Outside current scope"

The template's target group was narrowed after certificates were already generated for a broader group. Guests outside the current scope keep their existing certificates, but new bulk generations will not include them.

Tips

  • Check the skipped count on the generation card after each bulk run. A high skip rate usually means guests did not meet the conditions — review the conditions settings on the template.
  • Use Force Generate sparingly and only for guests who genuinely deserve a certificate despite not meeting the conditions automatically.
  • If you update the template design, regenerate the ZIP so all certificates reflect the latest layout.
  • Download the ZIP promptly — ZIP files expire after a set period and are automatically removed from storage.
