Configure Templates

Set up how guest data fills into WhatsApp template placeholders for your event.

Overview

Configure templates is where you tell Evencia how to automatically fill in the variable parts of each WhatsApp message template using your guests' data.

WhatsApp templates often contain placeholders — for example, {{1}} for a guest's first name, or {{2}} for their confirmation code. This section lets you connect each placeholder to the right piece of guest information so that every guest receives a personalized message.

Where to find it

Go to WhatsApp, then select the Configure templates tab.

Before you start

  • You need the whatsapp.templates permission to access this section.
  • At least one WhatsApp template must exist in the Template Library before you can configure it here.

How to create a template configuration

Step 1 — Open Configure templates

Go to WhatsApp → Configure templates and select New configuration.

Step 2 — Enter an internal name

Enter a name in the Internal name field. This is used only inside Evencia to identify the configuration — your guests will not see it.

Example: registration_confirmation or event_reminder.

Step 3 — Select the template

Choose the WhatsApp template you want to configure from the dropdown list. The template's structure will appear, showing the body text and any placeholder variables.

Step 4 — Map the placeholders

For each placeholder in the template ({{1}}, {{2}}, etc.), select what guest data should be inserted. Available options come from the guest's profile and form answers, such as:

  • First name
  • Last name
  • Email address
  • Phone number
  • Registration status
  • Custom form answers (if your event has a registration form)

Step 5 — Configure the header (if applicable)

If the template has a media header (image, video, or document), you can upload the file here. If the template has a text header with placeholders, map those to guest data as well.

Step 6 — Save

Select Create configuration to save. The configuration will appear in the list on the Configure templates page.

Managing configurations

Editing a configuration

Select the pencil icon on a configuration card to edit it. You can change the placeholder mapping at any time.

Deleting a configuration

Select the trash icon on a configuration card to delete it. Deleting a configuration does not affect any templates or campaigns that have already been sent.

Searching configurations

Use the search bar at the top of the page to filter configurations by internal name or template name.

Configuration fields explained

FieldWhat it means
Internal nameA label you choose to identify this configuration inside Evencia. Not visible to guests.
TemplateThe WhatsApp template this configuration applies to.
LanguageThe language of the selected template.
Placeholder mappingWhich guest data field fills each {{n}} placeholder in the template body.
Header mappingWhich guest data fills the header placeholders (if the template has a text header with variables).
Header mediaAn image, video, or document to attach to the template header (if the template supports it).
Button mappingDynamic URL suffix for button links (if the template has a URL button with a variable).
Mapped variablesShown on the configuration card — how many placeholders have been mapped.

Common problems

The placeholder dropdown is empty

No guest data fields are available. This can happen if your event does not have a registration form, or if the selected tag groups have no form answers. Go to Forms to check that your event has a registration form with the fields you need.

I can't find the template I want to configure

The template may not be in the Template Library yet. Go to Template Library to add it.

I can't see the Configure templates tab

You do not have the required permission. Contact your administrator.

Tips

  • Test your configuration by sending a campaign to one guest first before sending to your full list.
  • If a placeholder is not mapped, the message will be sent with the placeholder left blank (or literally as {{1}}). Always map every placeholder before using the template in a campaign.
