Connect your own WhatsApp Business Account to send messages from your company's number.
Overview
The WhatsApp Settings page lets you choose how your event sends WhatsApp messages. By default, Evencia sends through a shared WhatsApp number. If you want messages to come from your own company's WhatsApp Business number, you can connect your WhatsApp Business Account here.
Where to find it
Go to WhatsApp, then select the Settings tab.
Before you start
- You need the whatsapp.settings permission to access this page.
- Only the event organizer (the person who created the event) can connect or disconnect a WhatsApp Business Account. Co-managers can view this page but cannot make changes.
- To connect your own number, you need a WhatsApp Business Account through Meta Business Manager.
Sender mode
At the top of the Settings page, you choose how your event sends messages:

Select the mode that suits your event. If you are not sure, start with the shared number — you can switch later.
Connecting your own WhatsApp Business Account
If you select Use my own WhatsApp Business Account, a connection panel will appear.
Step 1 — Start the connection
Select Connect WhatsApp Business Account. A pop-up from Meta (Facebook) will open and guide you through selecting your WhatsApp Business Account and phone number.
Step 2 — Complete Meta's sign-up steps
Follow the steps in the pop-up:
- Log in to your Facebook or Meta Business account.
- Select or create a WhatsApp Business Account (WABA).
- Select the phone number you want to use for sending.
If you do not have a phone number set up yet, you can choose "Add a phone number later" in the pop-up and finish the connection without one. You can add a number afterwards in your WhatsApp Manager on Meta's website.
Step 3 — Connection confirmed
Once you complete the pop-up, Evencia will automatically connect your account and register your phone number. A confirmation message will appear on the page.
Managing your connection
Once connected, the Settings page shows details about your WhatsApp Business Account:

| Webhook | Whether real-time message delivery and reply tracking is active. |
Registering the phone number
After connecting, your phone number must be registered with WhatsApp's Cloud API before you can send messages. This usually happens automatically. If the page shows a warning saying the number is not registered, select Register number to complete this step.
Refreshing phone numbers
If you have added a new phone number to your WhatsApp Business Account on Meta's website and it is not appearing here, select Refresh numbers to sync the latest list from Meta.
Switching to a different phone number
If your WhatsApp Business Account has more than one phone number, you can choose which one to use for sending. Under the Sending phone number section, select Use this number next to the number you want to switch to.
Syncing templates
To update the template list after you have added or edited templates in Meta's WhatsApp Manager, select Sync from Meta. This fetches the latest templates from your WhatsApp Business Account.
Reconnecting
If your connection breaks or the access token expires, a warning will appear on the Settings page. Select Reconnect to go through the Meta connection steps again without losing your configuration.
Disconnecting
To disconnect your WhatsApp Business Account and switch back to the shared Evencia number, select Disconnect. A confirmation prompt will appear. After disconnecting, future messages will be sent from the shared number.
Disconnecting does not delete your WhatsApp Business Account or templates on Meta's side. You can reconnect at any time.

Co-managers see a notice at the top of the page explaining that only the event organizer can make changes.
Common problems
The Connect button is not available
You may be a co-manager viewing this page. Only the event organizer or an admin can connect a WhatsApp Business Account. If you are the organizer and the button is still missing, check your permissions with your administrator.
The connection shows a warning about registration
Your phone number was connected but not registered with WhatsApp's Cloud API yet. Select Register number to complete this step. If the registration fails, a message will explain the reason. The most common cause is that the phone number has a two-step verification PIN set in WhatsApp Manager that needs to be reset first.
My messages are failing after reconnecting
After reconnecting, check that the phone number is registered (the Registered field should show a date). If it is not registered, select Register number.
I added a new phone number on Meta's website but it doesn't appear here
Select Refresh numbers to sync the latest phone numbers from your WhatsApp Business Account.
Tips
- Connect your own WhatsApp Business Account if you want your company's name and number to appear to guests instead of Evencia's.
- Only one phone number can be active for sending at a time. You can switch between numbers as needed.
- After reconnecting, always check that the registration status is confirmed before sending campaigns.
