Template Library

Manage your WhatsApp message templates for this event's WhatsApp Business Account.

Overview

The Template Library shows all WhatsApp message templates available for your event's WhatsApp Business Account. Templates are pre-written messages that must be approved by Meta (WhatsApp's owner) before you can use them in campaigns.

Use the Template Library to create new templates, check their approval status, edit or duplicate existing ones, and submit rejected templates for review again.

Note: This section is only relevant when your event is using a custom WhatsApp Business Account (BYOW — Bring Your Own WhatsApp). If your event uses the shared Evencia number, your templates are managed by the platform administrator and may not appear here. Contact your administrator if you are unsure.

Go to WhatsApp, then select the Template Library tab.

Before you start

  • You need the whatsapp.templates permission to access the Template Library.
  • If your event is using the shared WhatsApp number, the available templates are managed by your platform administrator.
  • Template approval by Meta can take from a few minutes to 24 hours.

Understanding template statuses

Each template has a status that tells you whether it can be used for campaigns:

ApprovedThe template is approved by Meta and ready to use in campaigns.
PendingThe template has been submitted and is waiting for Meta's review.
RejectedMeta did not approve the template. You can edit and resubmit it.
PausedMeta has temporarily paused the template, usually due to quality issues.

Only Approved templates can be selected when creating a campaign.

How to create a template

Step 1 — Open the Template Library

Go to WhatsApp → Template Library and select Create template.

Step 2 — Choose a category

Select the category that best describes your template:

Step 3 — Name the template and choose a language

Enter a name using only letters, numbers, and underscores (no spaces or special characters). Choose the language the message will be written in.

Step 4 — Build the message

Design the message body. You can add:

  • Header — an optional title above the message. This can be plain text or a media file (image, video, or document).
  • Body — the main text of the message. You can add placeholder fields (shown as {{1}}, {{2}}, etc.) that will be automatically filled in with guest data when the message is sent.
  • Footer — a short line of text below the message, such as a disclaimer.
  • Buttons — optional buttons that let the guest take an action, such as visiting a website or calling a phone number.

Step 5 — Submit for review

Select Create to submit the template to Meta for approval. The template will appear in the library with a Pending status.

You will not be able to use the template in a campaign until it is approved.

Refreshing the library

If you have recently made changes in your WhatsApp Business Manager (Meta's portal) and those changes are not showing up, select Refresh from Meta to sync the latest template list.

Managing templates

Editing a template

You can edit templates that are in Approved, Rejected, or Paused status. Select the pencil icon on the template card. Changes must be reviewed by Meta again before the template can be used.

Templates in Pending status cannot be edited until the review is complete.

Duplicating a template

Select the copy icon on a template card to create a duplicate. The duplicate opens as a new draft with the same content, which you can modify before submitting.

Resubmitting a rejected template

If a template was rejected and you have edited it, select the resubmit icon (circular arrow) on the template card to send it back to Meta for another review.

Deleting a template

Select the trash icon on a template card to permanently delete it from Meta. This action cannot be undone. A deleted template cannot be used in any future campaigns.

Searching templates

Use the search bar at the top of the page to filter templates by name, language, or status.

Common problems

My template was rejected

Meta has a set of content policies for WhatsApp templates. Common reasons for rejection include:

  • Promotional language in Utility or Authentication templates.
  • Placeholder variables not clearly explained.
  • Content that Meta considers misleading or low quality.

Review Meta's feedback (if provided), make the necessary changes by editing the template, then resubmit it.

Templates are not showing up after I created them in Meta's portal

Select Refresh from Meta to sync the latest list from your WhatsApp Business Account.

I cannot see the Template Library tab

You do not have the required permission. Contact your administrator.

Tips

  • Submit templates well in advance of your event — Meta approval can take up to 24 hours.
  • Keep template body text clear and specific. Vague messages are more likely to be rejected.
  • Use placeholder variables ({{1}}, {{2}}) to personalize messages with guest names, booking references, or event details.
