Accreditations
Review, approve, and manage press accreditation applications for your event.
Overview
The People section shows every accreditation application for your event. From here you can review applicants, approve or reject their requests, assign them to press categories, and revoke access if needed.
Where to find it
From your event's main navigation, select Media, then People.
Understanding application statuses
Every application moves through a set of statuses as it is reviewed.
| Status | What it means |
|---|---|
| Pending | The application has been submitted and is waiting for a decision. |
| Info requested | Your team has asked the applicant for more information. |
| Approved | The accreditation has been granted. The journalist can access the press room. |
| Rejected | The application was not approved. |
| Revoked | An approved accreditation was withdrawn. |
| Expired | The accreditation has passed its expiry date. |
Applications pending review or awaiting more information appear at the top of the list.
Filtering and searching
Use the filters at the top of the list to narrow down applications:
- Status — show only applications at a specific stage.
- Category — show only journalists assigned to a particular category (for example, Photographer).
- Search — find a journalist by name, email address, or outlet.
Reviewing an application
Select any row in the list to open the full details for that applicant.
The detail view shows:
- The journalist's name, email address, job title, and outlet.
- Their profile photo, biography, country, languages, and social links.
- A copy of their press card or accreditation letter, if they uploaded one.
- The categories they have been assigned to.
- Their accreditation history at other events on the platform.
- A note from your team, if one was added when a decision was made.
Approving an application
- Open the application you want to approve.
- Select Approve.
- Optionally add a note that the journalist will receive by email.
- Optionally assign the journalist to one or more press categories.
- Select Confirm.
The journalist receives an email notifying them of the decision. They can then sign in to the press room.
If you have not yet chosen a badge tag in press room settings, Evencia will use a default system tag. You will see a reminder to choose a specific tag to control the badge design.
Rejecting an application
- Open the application you want to reject.
- Select Reject.
- Optionally add a note explaining the decision.
- Choose whether to notify the journalist by email.
- Select Confirm.
Requesting more information
If you need more details before making a decision:
- Open the application.
- Select Request info.
- Enter a message explaining what you need.
- Select Send.
The journalist receives an email with your message. They can update their profile and resubmit, which moves their application back to Pending automatically.
Revoking an accreditation
To withdraw access from an already-approved journalist:
- Open their record.
- Select Revoke.
- Optionally add a note.
- Choose whether to notify the journalist.
- Select Confirm.
Their press pass no longer grants entry and they lose access to the press room.
Assigning categories
Categories define what type of press a journalist is (for example, Press, Photographer, TV Crew). They also control which assets a journalist can see when assets are restricted by category.
To change a journalist's categories after approval:
- Open their record.
- Select Edit categories.
- Choose the appropriate categories.
- Select Save.
Bulk actions
You can act on multiple applications at once by selecting the checkboxes next to them in the list.
Available bulk actions:
- Bulk approve — approve all selected applications at once.
- Bulk reject — reject all selected applications at once.
- Assign categories — add or replace categories for all selected people.
Deleting a record
Deleting removes the accreditation record from the list. The journalist's press account is kept, and they can still apply for future events. This action is permanent.
Common problems
I cannot see the approve button
You may not have the Approve permission. Contact your administrator.
The journalist says they did not receive a decision email
Check that the email address on their application is correct. You can also resend a notification by revoking and re-approving if needed.
The journalist is approved but cannot enter the press room
Check that a badge tag has been configured in Settings. Without a tag, the system creates a default badge but the press room should still be accessible. If access is still blocked, check the accreditation has not expired.
