Settings
Configure the press room, branding, application intake, badge tag, and email sender.
Overview
Press room settings control how the press-facing side of the media module looks and behaves. From here you can customise the page title and welcome message, upload your logo and banner, control whether uninvited press can apply, set how long accreditation lasts after the event, and choose which email address sends notifications to journalists.
Where to find it
From your event's main navigation, select Media, then Settings.
You need the Manage settings permission to access this page.
Press room page
These settings control what journalists see when they open the press room.

| Title | The heading displayed at the top of the press room. Defaults to the event name if left blank. |
| Welcome text | A short message shown to journalists when they open the press room. Use this to greet them and explain what they will find. |
| Press terms and conditions | The legal terms shown on the application form. If any assets require terms acceptance before download, this text is also shown at that point. |
Branding
Upload images to give the press room your event's look and feel.
Banner
The banner is the large image shown at the top of the press room. Evencia automatically extracts the main colours from the banner and uses them to set the press room theme — you do not need to choose colours manually.
To upload a banner:
- Under Branding, select the file input below Banner.
- Choose an image from your computer (JPEG, PNG, or WebP).
- Select Upload.
To remove the banner and reset the theme to default, select Remove banner.
Logo
The logo is a smaller image (typically your event or organisation logo) shown alongside the banner.
To upload a logo:
- Select the file input below Logo.
- Choose an image (JPEG, PNG, WebP, or SVG).
- Select Upload.
To remove the logo, select Remove logo.
A Theme preview shows how the press room header will look with the current banner colours.
Applications
Control whether journalists can apply without being invited.
Accept open applications
When this toggle is on, anyone with the application link can submit an accreditation request. When it is off, only journalists who receive a personal invitation can apply.
When open applications are enabled:
- A public application link is shown that you can copy and share (on your website, social media, press releases, etc.).
- You can set an Applications close date and time after which new applications are no longer accepted.
Leave the closing date empty to keep applications open indefinitely.
Access and badges
Badge tag for approved press
When a journalist is approved, Evencia creates a guest record for them linked to a specific tag. This tag controls the badge design used for their press pass and which gate they can enter.
Choose a tag from the list or leave the default system tag selected. If you have not yet designed a badge for press, a default badge will be used.
Access ends this many days after the event
After the event ends, accreditation eventually expires. This number sets how many days after the event end date the accreditation remains valid. Once expired, the journalist's press pass no longer grants entry, but they can still browse the press room.
Set this to 0 if access should end on the event's last day. The maximum is 3,650 days (10 years).
Email sender
These settings control the name and email address that appear in notifications sent to journalists (decisions, invitations, asset announcements).

How press sign in
Journalists never receive a password. They sign in by entering their email address on the press room login page and receiving a single-use code by email.
A link to the sign-in page is shown on the Settings page. You can share this link with press so they can return to the press room at any time.
Saving settings
After making changes to the settings form, select Save settings at the bottom of the page.
Branding uploads are saved separately using the Upload button in the branding panel.
Common problems
I changed the banner but the theme colours did not update
Make sure you upload the banner using the Upload button after selecting the file. Simply selecting a file does not save it.
Journalists say the application link is not working
Check that Accept open applications is turned on and that the Applications close date has not already passed.
The badge design is wrong for press
Make sure the correct tag is selected in Badge tag for approved press. The tag must be one that has a badge template assigned to it.
